Job Title: Office Coordinator

Position Overview: We are seeking a highly organized and proactive Office Coordinator to join our team. The Office Coordinator will play a pivotal role in ensuring the smooth operation of our office and supporting the administrative needs of our pool service technicians and customers. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment.

Responsibilities:

  1. Administrative Support: Provide administrative support to the management team and field technicians, including answering phone calls, responding to emails, and managing schedules.
  2. Customer Service: Serve as the primary point of contact for customer inquiries, providing exceptional customer service and resolving issues promptly and professionally.
  3. Scheduling and Dispatch: Coordinate and schedule pool service appointments for technicians, ensuring efficient routing and timely service delivery.
  4. Inventory Management: Maintain inventory of pool maintenance supplies and equipment, coordinating orders and replenishments as needed.
  5. Billing and Invoicing: Prepare and process customer invoices, ensuring accuracy and timely payment collection.
  6. Data Entry and Recordkeeping: Accurately enter data into the company's database, maintaining up-to-date customer and service records.
  7. Documentation: Assist with the preparation of reports, proposals, and other documentation as required.
  8. Quality Assurance: Conduct quality checks/Audits on completed service to ensure adherence to company standards and customer satisfaction.
  9. General Office Management: Perform general office duties such as filing, organizing paperwork, and maintaining a clean and orderly workspace.

Qualifications:

  1. High school diploma or equivalent; experience preffered by not required. (will train the right person) 
  2. Proven experience in an administrative role, preferably in a service-oriented industry.
  3. Excellent communication and interpersonal skills, with a strong customer service orientation.
  4. Proficiency in Google Drive/Excel and experience with multiple office software as software is often changing. 
  5. Strong organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  6. Detail-oriented with a high level of accuracy in data entry and recordkeeping.
  7. Ability to work independently and collaboratively in a team environment.
  8. Knowledge of pool maintenance or the willingness to learn about the industry.
